Group Reservations
We enjoy having various groups come to stay with us, and we look forward to working with you in making a reservation. Here’s some information you might find helpful as you consider your group’s plans.
Finding a date
When you contact us, it would be helpful if you could have the following information to share with us:
- approximately how many people would be coming, and how many rooms you might need (if 10 people are coming but they’re all married, that’s only 5 rooms … it helps us to know if this is a group of singles, marrieds, a mix, etc … the more info the better)
- tell us a date or two or three that might work for you (it works best if you tell us specific dates that work for you, rather than ask us what dates we have available)
- will you be wanting meals served to you, and if so, which ones
- what’s the purpose of your visit … is it just hang out time for your group, will the group be holding meetings together, is this a quiet reflective retreat for the group, is there a particular focus, etc.
Something to keep in mind … when we’re asked “what dates do you have available in the next month or so”, and we share that information, we can’t guarantee that this will still hold true tomorrow. We get constant inquiries for group reservations, so if we share with you a current opening, it’s possible that date would get reserved before you can get back to us. This is why it’s more helpful if you come to us with specific dates that will work for you.
If you come to us with a specific date and we do have that date available, we can hold it for you for 3 days while you go back to your group members to verify.
Rates
When a group is ready to confirm a reservation, we ask for an approximate 1/3 non-refundable deposit. That can be paid online (click the donate button at the top of the website) or by check made out to Sustainable Faith and mailed to us (see the contact page on the web site for address). Right before you come, we’ll communicate with you for final numbers, and send you an invoice with the balance due. This should be paid upon arrival, if not before.
Our rates are as follows:
- Whole house … $450 per night. This assures that no other guests will be in the house, and your group can play the piano or guitars and not be concerned about their noise effecting other guests. This will provide your group with 5 rooms on the 2nd floor each with a queen size bed, 2 rooms on the 3rd floor each with a full size bed, two 3rd floor nooks that contain 2 single beds and a full bed, a comfortable 3rd floor couch, 4 bathrooms, and plenty of floor space. It also allows for full use of the 1st floor dining and living rooms for meeting areas.
- 2nd floor only … $300 per night. In this case there may be other guests in the house (on the 3rd floor) so we ask that noise be kept to a minimum. Your group would have 5 bedrooms, each with a queen size bed, and 3 bathrooms.
- 3rd floor only … $250 per night. In this case there may be other guests in the house (on the 3rd floor) so we ask that noise be kept to a minimum. This space is a loft area that includes 2 enclosed bedrooms, each with a full size bed, a nook with a twin bed, another nook with a twin and a full bed, a small living room with a comfortable couch, and 1 bathroom. There is also lots of open floor space.
Our normal check in time is 2:00 pm, and check out time is noon. Sometimes groups ask if they can come, for example, on Saturday morning and stay until Sunday afternoon. We can schedule things this way, however we do ask for $150 in order to do this, because it will mean that we are unable to schedule any other guests the night before or after.
Reservation process
- First, contact us at (info at sustainablefaith dot com), giving the information requested above. We’ll get back to you typically within 24 hours (occasionally it may take 48 hours) with a response.
- If necessary, we’ll hold the date for 3 days while we make final arrangements together.
- Once you’ve decided upon the date, please make your deposit either by online credit card payment or by mailing a check. If you pay by credit card we receive notification of that immediately. If you pay by check, just let us know that it’s in the mail and we’ll continue holding the date for you.
- When we receive the payment, we’ll contact you with a final confirmation, including a link to forward to your group members about staying at the convent and what will be available to them.
- About a week before your visit, we’ll ask for final numbers … how many meals and how many guests. This will be the number we base your final invoice on. We’ll then send you a final invoice so you know what the balance is, and the balance can either be paid online before coming or by check when you arrive.
Teaching / Guidance
Sometimes groups ask if Dave or someone we work with might be available to provide some teaching or guidance. We can offer this as well, depending on Dave’s or our staff’s availability. We’ll discuss with you what you’re looking for, then work out the details. If you do request this, it’s helpful if we know what it is that you’d like to receive (teaching on a specific topic, guidelines and suggestions on taking a retreat, a guided group retreat, etc) as well as how much of this you’d like to receive (a 1 hour session, 3 different sessions, etc). We typically ask for $75 per session which would last for 1 to 1.5 hours.
